    Tax Rate Validation in Bulk Coding


    When bulk coding across multiple invoice or credit note lines, the AP coder can now benefit from a validation process:

    • A pop-up window will remind coders if they are applying bulk coding to lines with different tax rates.

    • The validation of tax rates occurs after the selection of coding list entries is complete.

    Upload PDF on behalf of a Seller in ScanIO


    Accelerate your document creation process with ScanIO. From the Create Documents modal, you can now:

    Closing the feature gap between ScanIO and Create Invoice app


    We've made enhancements to ScanIO to align its functionalities with the Create Invoice app. Users can now:

    • Add or edit the booking number for Credit Notes.

    • Add or edit the goods receipt note for Invoices.

    • Add or edit payment terms information for Invoices.

    • Apply the Cash rounding rule for accounts with this feature enabled in the BFR rules, or select 'Cash Payment' as the payment method.


    These updates provide a more consistent and integrated user experience across our applications.

    Document enrichment by Sellers in ScanIO


    This feature allows Buyers to have input on the documents directly from their sellers:

    • Buyers can now send documents that have validation errors to Sellers for enrichment

    • Sellers can enrich the documents for a set timeframe, configurable per account

    • When a document is sent for enrichment to a Seller, a task is created in the task manager for this purpose.

    • Sellers can send the document back to the buyer if errors have not been fixed, or dispatch them directly if there are no more validation errors.

    Purchase Order Lifecycle (NEW) report


    The Purchase Order Lifecycle Report (NEW) provides an in-depth overview of the essential stages involved in the processing of purchase orders (POs). This report covers the entire PO lifecycle, beginning with the creation of the purchase order and concluding with the generation of goods receipts (GRs).


    Each step in the life cycle is detailed through a series of document conversions that track the PO from start to finish. This report is particularly beneficial for customers seeking to enhance visibility into PO traceability and detailed data on the flow of purchase orders.


    In summary, the Purchase Order Lifecycle report (NEW) offers the following insights:

    • A detailed list of Purchase Orders, including Purchase Request (PR) approvers and additional information.

    • Traceability from the original Purchase Order to Invoices and Goods Receipts at the line level.

    • Purchase Order lines that have been substituted with a Change Order are clearly indicated with a ‘Replaced’ status.

    • Change Orders are documented with the same level of detail as Purchase Orders, from the initial Order Change Request through to the invoicing data.

    • Up to 30 Coding values are displayed for each document line

    • Delivery Address column added  

    • Traceability from the root Purchase Order to Invoices/GRs at line level

    • Invoice References and GR References columns are added to list all referenced document numbers

    Company Subscription APP


    Company Subscription App aims to support self-service management of subscription services for our Sellers on Tradeshift.


    With the new app, as a subscribed seller, you can now:

    • Access details of your current subscription package.

    • View and download subscription invoice summaries and detailed PDF files.

    • Monitor subscription invoice payment statuses.

    • Pay subscription invoices directly.

    • Review your subscription invoice history.

    • For company admins, add or update company billing contact information.

    • Visit the Tradeshift website for more information on subscription options.

    Global e-Invoice Compliance

    Romania Inbound Clearance


    As of July 1, 2024, Romania has transitioned to a mandated CTC (Continuous Transaction Control) clearance model for tax collection. Businesses now receive clearances electronically from the e-Factura portal, managed by the National Agency for Fiscal Administration (ANAF), once they fulfill their tax and social security obligations.


    As such, Sellers must upload and clear all legally binding documents before sending them to Buyers. Buyers must download these documents from the e-Factura portal. The Tradeshift Romanian Inbound Clearance solution has been developed for this purpose.


    Buyers in Romania can:


    • Receive cleared invoices, corrective invoices, and credit notes from all their sellers via Tradeshift, utilizing direct Babelway connector integration with the RO e-Factura platform.

    • Benefit from an intelligent traffic management solution that ensures uninterrupted live integrations.

      • Configure a time period with “Hold Days” to wait for integration documents.

      • The system automatically decides to either dispatch or attach a cleared document from e-Factura in Tradeshift, depending on the document’s existence.

    • View cleared document attachments (including Cleared RO CIUS XML, Cleared PDF representation, and clearance signature) from the e-Factura portal.

    • Allow active, integrated sellers who clear outside Tradeshift to provide proof of clearance, including:

      • Clearance Download Number (ID Descarcare)

      • Upload cleared document attachments in the Invoice and Credit Note editor.

    Romania Corrective Invoice automation process


    The new corrective invoice automation process includes:

    • The Corrective Invoice type label is visible in Invoice 2.0.

    • Corrective invoices are automatically processed when they arrive on the buyer side, based on the configured workflow.

    • Each corrective invoice is auto-linked with the original invoice line.

    • Ada coding can be applied to corrective invoices.

    • Line coding from the related PO invoice line can be copied to the corrective invoice if copy coding is enabled.

    • Corrective invoice lines with negative amounts are factored into the total remaining billing balance calculation for the re-billing process.

    Supporting compliance features for Romania


    In ScanIO, to support compliance with Romanian regulations, you can now:

    • View and dispatch corrective invoices and self-billed invoices.

    • Use header-level and line-level references for credit notes, invoices, and corrective invoices.

    • Access and manage clearance numbers in both view and edit modes.

    • Lock fields and actions from VAN properties to prevent alteration of cleared information when a cleared document is received.

    Malaysia Inbound Clearance


    Tradeshift’s inbound solution for Malaysia buyers offers the following features:

    • Automatically fetching all inbound compliance e-invoices directly from the MyInvois portal.

    • Integrates with the relationship manager, providing flexibility and adaptability for both active and passive seller engagement, and enabling intelligent enrichment of invoices.

      • Adds the cleared original copy of the invoice as a dedicated clearance attachment to the seller’s live transacted invoice document.

      • For passive sellers, the cleared original invoice data is embedded as the invoice digital document.

      • On Hold Logic Implementation

      • By default, invoice data from the inbound clearance channel is used to assemble the invoice UBL document.

      • Buyers can configure the inbound invoice clearance channel’s on hold logic in BBW, allowing them to choose whether to use the seller’s live traffic data to assemble the invoice document and add the inbound clearance copy as a dedicated clearance attachment.

    • The original clearance copy file can be integrated into the customer’s ERP system.

    Support active MY sellers provide Proof of Clearance for live invoice traffic


    Malaysia sellers can now:

    • View the mandatory e-invoice regulation adoption overview on the Create Invoice app.

    • Provide the IRBM Unique Identifier Number of the cleared e-invoice via the MyInvois portal.

    • Upload the cleared version of the original format file as an attachment to a draft invoice, either individually or in batch, as proof of MY e-invoice clearance.

    • View and download the uploaded clearance attachments in both the legacy and new invoice viewers.

    Malaysia inbound e-invoice validation QR Code rendering


    With the adoption of the inbound clearance solution, buyers will be able to:

    • View the cleared invoice digital document, including its validation QR code, in both the legacy and new invoice viewers. This information is fetched from the MyInvois portal.

    • See the cleared copy of the invoice PDF file with the validation QR code rendered within it.

    • Scan the QR code to navigate to the invoice validation page, where they can view the cleared invoice details.

    • Note that the QR code is currently visible only for inbound invoices from sellers without live invoice traffic on the platform.

    Malaysia Debit Note document type


    Tradeshift now supports the Debit Note document type with the following features:

    • View and filter Debit Note documents in the Document Manager.

    • View and filter Debit Note documents in the Task Manager.

    • View Debit Note documents in the Invoice 2.0 viewer and Document Conversation Panel.

    • Reflect Debit Note document type in related task assignment email notifications and document status change email notifications.

    Malaysia inbound e-Invoice Cancellation flow


    The platform now supports the automation flow for canceling invoices:

    • The inbound clearance channel can sync and pull the canceled status of invoices, updating their document status to “Canceled” when they exist on the platform.

    • Canceled invoices are kept in ScanIO as “canceled” documents and will not be dispatched.

    • When an invoice’s canceled status is updated on the platform, the billed quantity will be reverted to billable again if the invoice has a billing reference document (PO document) on the platform.

    • Note that the canceled status integration is only applicable to MY companies.

    • The invoice cancellation automation process supports 2wm and does not yet support GR-based 3wm.

    Supporting compliance features for Malaysia


    In ScanIO, to support compliance with Malaysian regulations, you can now:

    • View and dispatch self-billed invoices.

    • Manage credit note and debit note document types.

    • Add or remove header-level and line-level references for credit notes and debit notes.

    • View and edit the IRBM clearance number.

    • Lock fields and actions from VAN properties to prevent alteration of cleared information when a cleared document is received.

    • View canceled documents in a disabled state along with the cancellation reason.

    Other compliance improvements


    With the latest updates, companies can now:

    • Create accounts with valid addresses and identifiers in Bangladesh, Burkina Faso, Qatar, Kuwait, and Belgium (with improvements to the BTW format).

    • Use an updated list of default taxes in Sri Lanka.

    • Utilize the valid Mauritanian Ouguiya currency code (MRU).

    • Access up-to-date payment information and validation for Polish domestic and split payment options.

    BFR configurable Cash Rounding


    Companies in countries with cash rounding rules (such as those in the Nordics) can now:

    • Utilize BFR to configure cash rounding with options for rounding method, precision, and policy.

    • Decide on a per-transaction basis whether a document should be cash rounded.

    • Apply cash rounding using the cash payment option.

    • View the payable rounding amount total in the document summary section.

    Fapiao scan AP invoice tag integration & reporting


    Local tags for AP invoices are now included in the Fapiao scan:

    • VAT invoices feature additional document reference metadata visible to customers after dispatch.

    • This metadata supports enhanced invoice integration.

    • Inbound VAT invoice reports now provide comprehensive data for better viewing and filtering, facilitating improved analysis of invoice statistics based on VAT tags.

    Digitized VAT e-invoice xml file batch download


    Fapiao image report can now support batch downloads of digitized VAT e-invoice XML files:

    • Buyers can now download digitized VAT e-invoice XML files inputted via the Fapiao scan AP.

    • Buyers can also download digitized VAT e-invoice XML files inputted by sellers via the Fapiao scan AR.

    • This functionality is exclusively available to buyer users.

    Better control over notifications


    We’re introducing a new notification service designed to enhance monitoring and ensure you’re alerted to the right events at the right time.


    The new system features 'Notification Agents' that allow you to customize:

    • Notification Topics: Choose the types of notifications you want to receive, such as errors in messages or upcoming certificate expirations.

    • Recipients: Specify where notifications should be sent, such as an email address (e.g., dev@mycompany.com) or a Slack channel (e.g., #dev).

    • Timing: Control when notifications are sent, including grouping them and limiting delivery to once per day.

    • All settings and notifications can be managed within the new 'Notification Center'.


    Notification Agents allow you to define how you monitor the system and when you wish to be notified. Currently, we support the following agent types:


    • Messages in Error: Notifies you if messages fall in error.

    • Messages in Success: Notifies you if messages are delivered successfully.

    • Messages Waiting for Download: Notifies you of messages waiting to be downloaded in Server OUT gateways (SFTP, FTP, etc.).

    • Certificates Expiration: Notifies you about certificates that have expired or will expire soon.

    • Gateway Polling Failure: Notifies you if your poller IN gateways experience problems (note: minor issues that resolve quickly will not trigger notifications to avoid spamming).

    • No Message Since: Notifies you if no messages have been processed by selected channels for a defined period.

    • Too Many Messages: Notifies you if too many messages have been processed by selected channels within a defined period.


    Configuring Notification Agents will vary based on the type, but overall, they offer the following improvements:


    • Future-Compatible Rules: Notifications no longer need to be configured for each channel individually; rules can apply to future channels as well.

    • Grouped Notifications: Agents will group events to avoid excessive notifications during periods of high activity.

    • Reminder Functionality: Notifications can include automatic reminders for unresolved issues, with additional reminder configurations available.

    • Current Status Tab: Each agent includes a 'Current Status' tab for a real-time view of what the agent is monitoring.

    Enhanced notification capabilities


    The new notification improvements include:

    • Show delivery status on each email sent. If in error show an error description

    • Show email address relating to a registered user

    • Add a parameter that specifies after how much time the user should be notified when a message stays available for download

    • Improvements on the notification email to make it more mobile friendly

    Automatic handling of Peppol reports


    Since January 2024, Babelway automatically sends your monthly Peppol report—covering traffic and user data—on the first of each month directly to the Peppol authorities.

    • Manual compilation of this report is no longer required.

    • The generic report covers all countries specified by Peppol authorities and is sent via the Peppol protocol.

    • For additional reports requested by some countries, support is also provided for Australia, New Zealand, and Singapore.
